Position Overview:
As a Personal Assistant to the Director of a local non-governmental organization (NGO), your primary responsibility is to provide comprehensive administrative and executive support to the Director. This role requires exceptional written and verbal English communication skills, as you will be representing the Director and the organization in various interactions.

Key Responsibilities:

  1. Administrative Support:

    • Manage the Director's calendar, schedule appointments, and arrange meetings.
    • Coordinate travel arrangements, including flights, accommodation, and visas.
    • Prepare and organize documents, presentations, and reports.
    • Handle incoming and outgoing correspondence, emails, and phone calls.
    • Maintain an organized filing system and ensure confidentiality of sensitive information.
  2. Communication and Coordination:

    • Serve as the primary point of contact between the Director and internal/external stakeholders.
    • Draft and proofread emails, letters, memos, and other written communications.
    • Conduct research and gather information to assist the Director in decision-making.
    • Coordinate and prepare materials for meetings, workshops, and conferences.
    • Coordinate and follow up on assigned tasks and projects.
  3. Relationship Building:

    • Build and maintain positive relationships with stakeholders, including partners, donors, and government officials.
    • Represent the Director and the organization at external events and meetings.
    • Coordinate and support the Director in networking activities and relationship management.

Qualifications and Skills:

  • Bachelor's degree in a relevant field is preferred.
  • Proven experience as a Personal Assistant or Executive Assistant is desirable.
  • Exceptional written and verbal English communication skills.
  • Strong organizational and time management abilities.
  • Proficient in using office software such as Microsoft Office Suite.
  • Excellent interpersonal skills and the ability to work effectively in a team.
  • Discretion and the ability to handle confidential information.
  • Flexibility, adaptability, and the ability to multitask in a fast-paced environment.
