About HAI

HelpAge International’s goal is to improve the lives of older women and men in low- and middle-income countries, especially those in crisis-prone and insecure areas. The organisation engages in lobbying and advocacy efforts at the national and international level to raise awareness about the need for such a convention and to ensure that the rights and needs of older people are taken into account in the drafting process. Additionally, the organization works with its members and partners to promote the inclusion of older people in the development of the convention and to provide training and capacity building to older people and their organisations. HelpAge International also conducts research and produces publications and other resources to support the development of the convention.

Scope

The objective of the Assignment

The assignment involves the coverage of 1 day event on “International Women’s Day”, including event highlights, testimonials, panel discussions, speeches, group photos, and 200 high-quality pictures.

Points to be Noted:

• The consultancy firm will submit a detailed financial proposal.
• The consultancy firm will provide previous work samples of photography for corporate/humanitarian events.
• The consultant will provide all deliverables in accordance with the approved time and schedule.
• HAI has the right to make changes to the content during the entire contract.
• The consultant will ensure adherence to HAI’s branding guidelines and safeguarding principles.
• The consultant must have prior experience running similar assignments in the mentioned province.
• Consultant will engage two photographers and two videographers in the activities.

Venue: Islamabad

EXPECTED RESULTS:

Under this consultancy, HAI is seeking specialized services of a production house will provide 200 HD captioned photos.

1. 1.      200 Photos

Full size (or max sensor size render, target of 8-12 MB and 30MB with a resolution of 5760 × 3840 pixels) for printing Each picture will be shared with a document in which we will find a comprehensive caption (the place where the photo has been taken, the date, and a legend on the picture's context).

1. 2.     10 Testimonies – portraits and recorded in vertical mode.

• Each Testimony (with portrait) is shared with the signed or recorded oral consent forms.
• Each testimony is shared with the subtitles.
• Each testimony is recorded and shared in a raw format to HAI.
• Ensure the branding of HAI in testimonies.

1. A highlight video of the whole event not more than 2:30 minutes.
2. All speeches will be recorded separately with the best audio & video quality and provided to HAI with Raw footage.
3. Panel discussion will be recorded in one master frame with two to three separate cameras to cover the individuals while speaking.
4. Embed sub-titles in the highlight/testimonials as per need.
5. Audio balances the final product and converts it in formats for use on TV, radio, web, social media etc.
6. All the raw data, b-rolls, etc to be provided to HAI at the end of the assignment.
7. The consultant will engage one videographer with a wide-angle camera (master frame) and one cameraman will b-rolls.
8. The consultant will engage one photographer for activities on stage and one photographer for audience action-oriented pictures.

The Photographer will be responsible for:

• Laptop & Photographic and video equipment
• Personal and material insurance.
• Accommodation and Travel

Skills Required & Selection Criteria

Expected profile of the Consultant:

• Experienced Photographer, most preferably Cinematographer with reference/portfolio as supporting evidence.
• Have at least 3 years of proven experience in the field.
• Having a bachelor’s degree in social sciences/media studies or relevant diploma (film art of photography will be given preference.)
• Have excellent technical camera and other equipment operating skills.
• Have photo and video editing skills.
• Have own photography equipment capable of delivering high-resolution edited photographs and the rough-cut version.
• Experience of work with NGOs/UN agencies is a strong asset.

Selection Criteria

The profiles of the consultants will be evaluated based on the scope of work and deliverables.

Award will be made on overall past and related experience, capacity, and quality of the consultant along with competitive quote/price and delivery of final work among the qualified Photographers.

Intellectual Property Rights: HelpAge International will retain all intellectual property rights for all material produced in any media format for this consultancy assignment.

Budget: Rate will be based on the experience of the consultant. The consultant will be responsible for managing his/her accommodation during the task days.

The consultant’s quote/fee shall be inclusive of applicable taxes, federal and provincial, including (but not limited to) income tax, sales tax (if applicable)

Payment Modalities: No advance payment shall be made to the consultant. 100% bank payment after good completion of the service and correct invoice. Payment is to be made within fifteen working days.

Contents Property/Copyrights

All information pertaining to this project belongs to the client (HAI), which the consultant may come into contact with the performance of their duties under the contract, shall remain the property of HAI, who shall have exclusive rights over its use. Except for the purposes of this assignment, the information shall not be disclosed to the public nor used in any form without written permission of the client in line with the applicable national and international Copyright Laws.
