Purpose of the Position:
The MIS Assistant will be responsible for maintaining, updating, and managing the Database (MIS) for the Non-Formal Education (NFE) program in accordance with the standards, guidelines, and reporting requirements of the Directorate of Literacy & Non-Formal Education (DL&NFE), Government of Sindh. The position ensures accuracy, timeliness, and completeness of data related to NFE Facilitators, learners’ enrollment, daily attendance, and progress, and supports evidence-based decision-making.
Key Responsibilities:
Key Responsibilities and Data Management (MIS) / Documentation:
- Maintain and regularly update MIS records of NFE Facilitators, learning centers, and enrolled learners.
- Ensure accurate entry, verification, and validation of learners’ demographic, enrollment, and academic data.
- Maintain daily attendance records of learners and facilitators in line with DL&NFE-approved formats.
- Ensure completeness and consistency of MIS data received from field teams and facilitators.
- Manage and report the HR Requirements to HA’s Country HR Department.
- Maintain organized digital and physical MIS records, reports, and official correspondence.
- Ensure confidentiality, integrity, and protection of learners’ and staff data in line with organizational and government protocols.
- Provide MIS-related guidance and support to NFE Facilitators regarding attendance and learners’ data submission.
- Assist the Project Team in tracking enrollment trends, attendance ratios, dropouts, and retention rates.
- Identify data gaps, discrepancies, or delays and promptly report to the Project Coordinator.
DL&NFE Portal Management & Reporting:
- Timely update learners’ profiles, enrollment status, attendance, and progress on the official DL&NFE MIS Portal.
- Generate and submit weekly, monthly, and periodic MIS reports as per DL&NFE and project requirements.
- Ensure alignment between hard records, field data, and DL&NFE online system entries.
- Support data correction, reconciliation, and portal updates as advised by DL&NFE.
- Coordinate closely with the MIS Team of DL&NFE, Government of Sindh for verification, review, and approval of data.
Key Deliverables:
- Updated and accurate MIS / Database of NFE Facilitators, learning centers, and learners.
- Timely submission of attendance, enrollment, and progress data on the DL&NFE portal / Regional Directorate of Education & Literacy (Larkana / Hyderabad).
- Regular MIS reports shared with project management and DL&NFE.
- Well-maintained and auditable MIS documentation.
Performance Indicators:
- Accuracy and timeliness of MIS data and portal updates.
- Compliance with DL&NFE MIS standards and reporting timelines.
- Quality of coordination with DL&NFE MIS team and field staff.
- Data reliability during monitoring, inspections, and audits.
Required Qualifications & Skills:
- Bachelor’s degree in Computer Science, Human Resource Management, Statistics, or a related field.
- Minimum 2–3 years of relevant experience in MIS, data management, or education/development projects.
- Hands-on experience with online MIS portals, databases, and Excel-based reporting tools.
- Strong command of MS Excel, MS Word, and basic data analysis techniques.
- Ability to coordinate effectively with government departments, field teams, and facilitators.
- Strong organizational, communication, and reporting skills.
