A Non Governmental Organization invited sealed bids from recognized & experience companies/Firms to enter in vehicle rental Contract on Monthly/Daily basis with/without  Fuel & Oil in different Districts of KP.

Terms & conditions:

Firm will be responsible for the provision of following Vehicle at different projects in district of Khyber Pakhtukhwa-KP:

• Proposal must be submitted on the Company Letter Head that includes the following minimum information.
1. Vendor Name
2. Address, Telephone and Fax Number
3. Date of Quotation
4. Vendor Stamp
5. Profile of the company Including Company/Form Registration & NTN Certificate.
• Color- Any
• Trained drivers having valid Driving license and security clearance.
• Excellent Condition.
• Closing date and time for submission of RFP 21th June 2023 COB.

General Conditions:

• Successful vendor will be required to complete the given tasks order within 3 working days.
• Should not black listed from any government / semi government / autonomous body.
• All rates should be inclusive of taxes.
• Quotation rates must be valid for a period of 60 days.
• In case of vehicle on monthly basis Lum Sum Repair & maintenance will bear by Vendors.
• ORGANIZATION strictly prohibits any person other than their respective drivers In case of vehicle with driver.
• ORGANIZATION reserves the right of substituting any vehicle or driver In case of vehicle with driver.
• Duty timing for day trip would be 9 hours i.e. 08:00am to 5:00pm.The time can be extended in field as per need.
• The driver will be provided a break for lunch and dinner.
• Proposals will be accepted only before the due date.
• Mark the envelop with “PROPOSAL FOR RENTAL VEHICLE” on top.
• Payment will be made through cross in the name of company/Firm.
• Payment Terms will be 30 days upon receipt of monthly invoice.
• RFP received through any other mode / addressed to any other person will not be entertained.
• Late receiving bids after due time will be rejected.
• Rental vehicle providers submit their best possible lowest prices with their bids.
• All prices must be quoted in Pak Rupees and should include any Taxes applicable of GOVT of Pakistan. Any subsequent change in tax regime would be adjusted accordingly.
• In case of any dispute regarding service, quality and specification, the decision of the ORGANIZATION shall be final & binding.
• In case any rental vehicle is found faulty or out of service during the travelling, the Bidder will replace the faulty vehicle on the same time.
• ORGANIZATION can increase or decrease the number of required rental vehicles.
• The rental vehicle provider must response efficiently for providing rental vehicle timely.
• Organization reserves the right to reject any or all RFP without furnishing any reason.
• Organization reserves the right to cancel the agreement at any with/without furnishing any reason.
