For the position of Project Manager, A graduate degree from a recognised University & 5 years of relevent experience is considered necessary.

Job Description:

Implementation, Supervision, Monitoring, and Evaluation:

  • Conduct media scans for disaster related news in Pakistan and report it to the Coordinator for Emergencies and ARDs/DRDs
  • Coordinate with different stakeholders and partners in the disaster affected areas to collect primary data and will share it accordingly
  • Conduct and or participate in the need assessment of disaster affected areas
  • In case of need for response, assist in the preparation of Rapid Response Fund document, Appeal, proposals by providing required data and initial coordination with local Implementing Partners
  • Liaises with collaborating partners for the execution of activities relating to the programme. Monitor partner’s interventions and ensure high standards of quality are maintained in the projects assigned to him. Come up with timely recommendations on any issues faced by the project/s assigned to him.
  • Prepare procurement and financial plans for each project assigned to him and also ensure that the financial reporting for projects are in-line with established budgets and corrections are made in a timely way
  • Ensures that the relevant contracts are in place including Project Agreement with IP’s, Contracts and ToR for Consultants engaged by the project assigned to him
  • Ensure that all tendering and contracting for projects are correct according to organization’s policies and procedures
  • Facilitate an internal evaluation after completion of projects assigned to him or facilitate in external evaluation conducted for projects under the program
  • Responsible for ISO and RMA audits, including but not limited to preparation of documents, preparation of corrective measures, generating reports and sharing it with the Coordinator 
  • Responsible in ensuring that all equipment/items under Program are regularly maintained and stored properly. These items may be crucial in responding to emergencies and or disasters
  • Conduct high quality researches in consultation with Associate Regional Directors and Coordinators for the purpose of preparing new proposals, Concept Notes and other documents for Programs
  • Management of the staff working under him, training and managing the staff development process Assessing staff through the performance review process, assess with the staff their performance in fulfilling those objectives
  • Comply and/or utilize organization systems and tools, especially Process Flow Charts, Project Monitoring Forms, Household Assessment Forms etc.

Consultation and Coordination:

  • Support Coordinator in coordinating with relevant agencies including but not limited to Governmental, Non-Governmental Organizations, UN agencies, line departments for whatever purpose that may benefit projects
  • Immediately start permission process from relevant government departments as soon as a grant is committed
  • Maintain good working relationships between staff, groups and teams including, but not limited to: Projects Team, Finance team, OD team and Communications team in all locations
  • Represent Organization and maintain good working relationship with key external stakeholders, including: national partners, international non-governmental organisations, community-based groups, private supporters, donors, UN / NGO coordination groups, government officials, media broadcasters
  • Liaise with technical support services to maintain timely and effective support to field.

Records and Reporting:

  • Maintains records of all project documents including assessments, tokens and distribution lists and align them as per the ISO standards documentation requirements for internal and external audits. Provide regular update of projects to Coordinator
  • Collect and create human interest stories gathered from the field
  • Communicate timely assessment report after visiting disaster affected area
  • Report timely minutes of all meetings attended and all inspections held
  • Conduct Briefing on all trainings received
  • Generate all other reports on timely basis as required by Programs management
  • Ensure that all required reporting formats are compiled including work plans, monitoring forms, assessment forms and distribution records.

Maintain confidentiality in all information he gained through access to organizational database, flow of information, or other information source. Any disbursement of information related to Organization, its projects/programs, staffs, or other relevant matters will be legally held against.

 

Key Responsibilities (Operations):

  • Focal point for visiting and meeting local authorities in disaster affected areas for NOCs, and other related matters
  • Overall Supervision of Security protocols at field locations
  • Liaison and coordination with landlord, local authorities
