DUTIES AND RESPONSIBILITIES:

 

 Record Maintenance:

  • Create and maintain physical and electronic records of important documents, transactions, and correspondences.
  • Ensure the accuracy and completeness of all records by conducting regular audits and checks.

Data Entry:

  • Input and update information in databases, spreadsheets, and other record-keeping systems.
  • Verify and cross-reference data to maintain consistency and integrity.

 File Organization:

  • Organize and categorize records in a systematic manner for easy retrieval.
  • Implement and improve file management systems to enhance overall efficiency.

 Confidentiality:

  • Uphold strict confidentiality and security measures when handling sensitive information.
  • Adhere to company policies and legal requirements regarding data protection.

 Communication:

  • Collaborate with various departments to gather and verify information for record-keeping purposes.
  • Respond to inquiries regarding records and provide necessary information to authorized personnel.

 Continuous Improvement:

  • Identify opportunities to streamline record-keeping processes and suggest improvements.
  • Stay updated on industry best practices and emerging technologies related to record management.

Qualifications:

  • Intermediate; additional education or certifications in records management is a plus.
  • Proven experience as a record keeper or in a similar role.
  • Proficient in using record-keeping software and Microsoft Office Suite.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
