We are seeking a highly skilled Documentation and Reporting Coordinator to ensure transparency, accountability, and impact of the project by maintaining accurate documentation, preparing high-quality reports, and ensuring compliance with donor guidelines. This role enhances project visibility, supports decision-making, and fosters knowledge sharing, playing a crucial part in effective communication between field operations, management, and stakeholders.
Key Responsibilities:
- Develop and maintain a comprehensive documentation system for project activities, including meetings, workshops, field visits, and training sessions, ensuring proper filing and archiving.
- Prepare high-quality project documents, including concept notes, progress reports, case studies, success stories, meeting minutes, and event reports.
- Collaborate with project teams to capture and document best practices, challenges, and recommendations for improvement.
- Ensure timely and accurate periodic progress reporting in compliance with donor and organizational requirements.
- Compile and analyze data from field teams to ensure consistent and accurate reporting, working closely with the M&E team.
- Ensure compliance with donor reporting and visibility guidelines, meeting all deadlines and quality standards.
- Develop and maintain a repository of knowledge products, including research papers, policy briefs, assessment reports, and implementation manuals.
- Work closely with project teams, field staff, and partners to gather information, ensure reporting consistency, and participate in project meetings and workshops.
- Review and edit all project-related documents to ensure clarity, accuracy, and compliance with donor and organizational standards.
- Support the development of communication materials and knowledge products to showcase project achievements, impact, and lessons learned.
- Qualifications & Experience:
- Education: Master’s degree in Communications, Journalism, Social Sciences, Development Studies, or a related field from an institution listed in the World Higher Education Database (http://www.whed.net/home.php).
- Experience: Minimum 5 years of experience in documentation, reporting, knowledge management, or M&E, preferably in the development sector.
