Aga Khan Health Service, Pakistan, is looking for a competent Admin & Finance Officer based at Regional Office in Gilgit.

Key Responsibilities:

  • Ensure the efficient day-to-day administration of the office and timely completion of all administrative, documentation, and compliance requirements in accordance with organizational policies and donor guidelines.
  • Maintain accurate administrative records, correspondence, files, stock registers, asset registers, inventory records, and other project documentation in both hard and soft copies to ensure proper filing and audit readiness.
  • Support financial administration by preparing payment requests, maintaining petty cash records, processing financial documentation, and ensuring accurate record keeping in compliance with organizational procedures.
  • Coordinate procurement processes, including obtaining quotations, preparing comparative statements, processing purchase requests, coordinating with vendors/suppliers, and maintaining complete procurement documentation.
  • Manage office logistics, supplies, equipment, and project materials, ensuring timely procurement, proper utilization, inventory control, and asset management.
  • Coordinate with outreach nurses, facility staff, field teams, and other stakeholders to provide administrative and logistical support for effective implementation of project activities.
  • Organize and facilitate training, meetings, workshops, outreach camps, and field activities, including venue arrangements, travel, accommodation, refreshments, attendance records, and distribution of materials.
  • Prepare, compile, and submit administrative, financial, procurement, and project reports in a timely and accurate manner.
  • Handle official correspondence, schedule meetings, maintain office calendars, and provide general administrative support to management and project staff.
  • Ensure compliance with organizational policies, donor requirements, safeguarding principles, financial procedures, and applicable regulatory standards.
  • Perform any other administrative, financial, or operational duties assigned by the Line Manager.

Qualifications & Experience:

  • B.Com/BBA from a recognized institution.
  • Minimum 2 years of relevant experience in the relevant field. Experience working with healthcare facilities, community organizations, NGOs, development partners, or government health programs will be an added advantage.
  • Sound knowledge of community-based health programs, field monitoring, supportive supervision, data collection, and project implementation.
  • Proficiency in Microsoft Office applications and digital data collection and reporting tools.
  • Strong report writing, analytical, communication, interpersonal, coordination, and problem-solving skills.
  • Ability to work independently, manage multiple priorities, maintain data confidentiality, and undertake frequent travel within the assigned district.
  • Fluency in English and local languages; knowledge of regional dialects will be an added advantage.
  • High level of integrity, accountability, confidentiality, and attention to detail.
  • Shows resilience, flexibility and perseverance, especially during challenging periods.
