Job Summary:

DOPASI Foundation, intends to recruit a Procurement Coordinator for its USAID funded project. The Procurement Coordinator will be responsible for the overall procurement and logistics including assisting with all facets of the day-to-day procurement and logistical requirements. The position will report to the Manager Operations.

Specific Tasks and Responsibilities: Specific tasks of the Procurement Coordinator include but are not limited to:

  • Under the direct supervision & guidance of Manager Operations, timely process the procurement/s and logistical support to the technical team, as & when needed;
  • Coordinate with the program office to identify suitable vendors and collect price quotes as per laid down procedures. Assist the project operations team in documenting office supply inventories and maintaining cordial working relationship with vendors;
  • Prepare Request for Quotations (RFQs) /Request for Proposals (RFPs), justification memos, and receipt of quotations/proposals, bids or proposals, coordinate for evaluation, negotiation of certain conditions of subcontracts/POs/ contracts in full compliance with funding agency’s rules and regulations;
  • Plan and coordinate events across the country in accordance with approved guidelines.
  • Manage staff boarding and lodging arrangements;
  • Select and negotiate with suppliers for hotel bookings, car rentals, and air travel agents;
  • Organize logistics, such as venues, transportation, accommodations, and catering, for events of various sizes and types, including conferences, workshops, seminars, and training sessions.
  • Work closely with program staff, partners, vendors, and other stakeholders to ensure the smooth execution of events towards the achievement of program goals;
  • Coordinate with finance department for the preparation of event budget;
  • Maintain an effective filing system (hard and soft) and update different trackers as required by the project;
  • Assist in all internal & external pre & post audits/ reviews;
  • Resolve day-to-day procurement/subcontract issues and ensure timely supply of goods/services from hired vendors/subcontractors and processing their payment/s;
  • Take timely corrective actions on subcontracts/POs with budget check errors, schedules, and other problems, where needed;
  • Generate different procurement/subcontract management reports as needed;
  • Ensure implementation of procurement/operational strategies focusing on achievement of results;
  • Conduct all business in a manner that respects local culture;
  • Always maintain high ethical standards, avoiding any actual or perceived conflicts of interest;
  • Perform other duties as required or assigned by the Manager Operations and Chief of Party that are consistent with the qualifications, scope of work, and general requirements of DOPASI Foundation;

Qualifications:

  • Bachelor's/Master’s degree in Supply Chain Management, Business Administration, or a related field;
  • At least 5 years of post-qualification experience in procurement and logistics management for donor funded projects;
  • Strong communication and negotiation skills;
  • Excellent analytical and problem-solving skills;
  • Attention to detail and ability to manage multiple tasks and priorities;
  • Computer literate in Microsoft Office (including Word, Excel and PowerPoint) is a must;
  • Strong commitment to DOPASI values including integrity;
  • Ability to foster and demonstrate a workplace inclusive of creating opportunity, serving others, building trust, innovation, and exceeding expectations;
  • Fluency in English and Urdu required. Command over any one local language will be an added advantage;
