General mission
Missions / responsibilities
Mission 1 :
The Distribution Assistant will :
- Identified and assessed flood affected from the relevant areas Supervise the preparation of distribution lists.
- Overlook preparation of beneficiaries’ forms and other required by the donor through programs. Ensures work schedules in place to promote efficiency.
- Collaborate with distribution team in the field activities. Act as a linkage between community and distribution staff.
- Report and share action plans on regular basis to the Project office on the updates. Assist in monitoring activities as required.
- Support the distribution in close collaboration with team and report to area manager of all the documentation to be submitted at the end of the program.
- Acts as stock controller and communicates any discrepancies.
- Ensures pallet control standards and all precautionary measures are being met. Coordinate with Logistics department in all project related activities.
- Ensure weekly and monthly needs mapping from teams Compile and maintain an established supplier list per base Ensure that all necessary documentation is updated
- Responsible for proper maintenance of assets and office equipment
- Notify the Logistics and Procurement supervisor any abnormal usage or abuse of equipment or assets Update regularly the MF Asset List
- Record the monthly reconciliation of the fuel used Follow up the maintenance of the office
- Follow up enumerators (Mapping, scheduling, daily target and zoning)
- Prepare and complete warehouse orders for delivery or pickup according to schedule Receive and process warehouse stock products
- Perform warehouse inventory controls and maintain quality standards high for audits Optimize space utilization and keep a clean and safe working
- Complete diary logs into inventory Report any discrepancies
- Communicate and cooperate with supervisors and coworkers Mission 2 : Data & Reporting
- Compile data at the end of every month for all activitis and share with Line Manager and M&E unit. Update database regularly in both digital and hard copy forms.
- Regular reporting of field activities and other activities
- Share lessons learnt in the field, prepare case studies and success stories .
