PART 1 – JOB DESCRIPTION

1. JOB OVERVIEW

The communications Assistant is responsible for effectively supporting the flood response manager in the development and dissemination of approved information, education & communication (IEC) materials to relevant stakeholders in a timely manner using appropriate channels and forums. In fulfilling his/her responsibilities, the communications assistant is required to maintain high ethical and moral standards while ensuring due attention to beneficiary consent, quality, sensitivity, accuracy and context.

  1. POSITION IN ORGANISATION

  • Grade: B4

  • Reports to Flood Response Manager.

  • Interacts and shares learning and information with relevant team members at the Tearfund Country Office

  1. ORGANISATIONAL REQUIREMENTS

  • The position holder will be expected to adhere to and promote organisational values and principles while representing Tearfund.

4.CORPORATE POLICIES, MANAGEMENT SYSTEMS AND PROCEDURES

  • Undertake all activities in accordance with internal management systems, operating procedures and policies and programmatic protocols; support team and organisational efforts to maintain compliance;

  • The position holder will be expected to adhere to Tearfund’s Quality Standards as and when required;

5. KEY RESPONSIBILITY

  • The communication assistant is responsible for collecting communication material from the field areas of Tearfund’s partners, including human interest stories, photos, sound bites and videos that are tailored to different target audiences (internal, donors, public and/or media).

  • The communication assistant will support the relevant staff of partners regarding collection of communication material in adherence to Tearfund’ SOPs.

  • Identify potential interviewees, draft, and propose interview questions and conduct interviews with Tearfund’s implementing partners. 

  • Ensure balanced representation of communities, genders, and participant groups. Identify and capture impressive stories & testimonies of project communities of implementing partners .

  • Develop promotional materials and to be used for interaction with humanitarian forums, government line departments and project communities as well.

  • Support the flood response manager in implementing the communication strategy and plan for the Tearfund flood response.

  • Coordinate and collaborate with relevant partners and country office staff members to ensure timely collection of required information with particular attention to its accuracy and quality; 

  • Support the flood response manager  in ensuring that partner staff are properly observing Tearfund’s communications protocols and following best practices as required; 

  • Visit the project locations and participate in activities and events as delegated by the flood response manager.

  • Collecting, compiling and presenting the data and information required to develop and finalise IEC materials related to Tearfund; 

  • Ensure that all relevant protocols are followed while collecting, compiling and presenting data and information; timely follow up must be ensured to meet the demands of Tearfund and its donors; 

  • Ensure timely and high-quality support as required for the preparation of the following materials (this is not an exhaustive list): 

    • Supporting materials for meetings and other official use;

    • Periodic updates or snapshots for internal and external use; 

    • Newsletters and reports (activities, events or otherwise);

    • Case studies / stories of transformation or change;

    • Infographics for use in presentations, reports and other materials;

    • Pamphlets, flyers, brochures, booklets, manuals and other materials;  

    • High resolution photographs with accompanying quotes, captions and participant consent; 

    • Short video clips or more detailed and lengthier video footage as required;   

    • Interviews of relevant beneficiaries, stakeholders, visitors and staff;

    • Documentaries for internal and external use; 

    • Press releases for use in media coverage; 

    • Contextualised key messages in local languages for the beneficiaries and stakeholders: 

  • Any other materials required by Tearfund for internal and external use especially for fundraising and awareness building purposes;

5.1.EXTERNAL RELATIONSHIPS / REPRESENTATION

  • As part of the project team, support and promote effective teamwork and commitment to Tearfund’s Core Values and Quality Standards;

5.2 EXTERNAL RELATIONSHIPS / REPRESENTATION  

  • Support the Flood Response Manager where appropriate in representing Tearfund to other INGOs, NGOs, government departments, government agencies, partners, associates and affiliates and ensuring coordination and constructive working relations with the same;

  • Support the Flood Response Manager where appropriate in representing Tearfund to donor representatives and other visitors to the project office and working areas;

ESSENTIAL

QUALIFICATIONS

  • Bachelor’s degree in Communication or Journalism;

  • Higher qualifications or specialised diploma/certification in relevant field;

EXPERIENCE

  • At least 2 to3 years’ experience in a similar role;   

  • Experience of working with diverse stakeholders in a multi-religious and multi-cultural environment;  

  • Experience of working in both development and humanitarian contexts; 

SKILLS/

ABILITIES

  • Strong verbal and written skills in English;  

  • Proficiency in Urdu is necessary;           

  • Ability to collect and compile high volumes of data and information; 

  • Computer proficiency; 

  • Networking and coordination skills;

  • Multi-tasking ability 

  • Research and analytical skills; 

  • Problem solving skills; 

  • Proficiency in local languages and dialects;
