Key Responsibilities:
- Petty cash management and daily cash balance statement.
- To assist Manager Admin in the effective and smooth running of the section
- To keep abreast HDF Admin policies and procedures.
- To coordinate with regional admin officers for assistance and guidance in day to day administrative matters
- To make purchases in accordance with purchase policies and procedures keeping in view of expenditure budget and make a proper record
- To evaluate the prices/quality and recommend the best purchase at the best price.
- To upkeep the office premises and also keeps the maintenance of office building and equipment in order
- To maintain an updated fixed asset register and inventory.
- To maintain accurate stationery stock and record all items provided to the section.
- Management, maintenance, and upkeep of hostel premises.
- To supervise the movement of office fleet by making proper shift pick/drop arrangements and as requested by the staff as well
- To supervise the maintenance of the office fleet and to ensure that vehicles are enough fueled all the time.
- To check the logbooks and to report about the monthly fuel consumption report
- To ensure effective coordination of board meetings and regional heads quarterly review meetings
- To ensure logistics preparation/support for meetings, workshops, and training.
- Make logistics arrangements in line with budgeting measures such as selection of venues, accommodation, transportation, teas, lunches, and stationary.
- To manage support staff office boys, cooks, cleaners, and drivers (schedules, attendance, concerning their job profiles).
- To prepare monthly status reports in prescribed format for submission to Manager Administration
- Any other task assigned by supervisor.
Minimum Qualification &Experience
Graduate qualification with 2 years working experience
