Position Summary:

As a senior member of the Finance Team, this position will provide technical assistance for all aspects related to finance, grants/IPs management along with the required support in budgeting, proposal development and financial management.

Job Descrpition:

Grant management responsibilities:

  • Efficient use of tools/reports along with finance Manager to facilitate budgets monitoring.
  • Review of financial transactions of funds received and spent within the financial policies of HAP.
  • Coordinate with budget holders to check, calculate and code to ensure correct posting and coding for the grants and in the event of a mistake, rectify it.
  • Manage gains/losses for all the grants for those s/he responsible.
  • Preparation of timely and accurate financial reports.
  • Support Finance Manager in preparation of funding requests, liquidation reports to the donors & to the Head Office.
  • Preparation of cross charging sheets including salary cross charging to be rolled out within HA.
  •  Preparation of expense summary sheets to be used for booking of financial transactions related to the liquidation of all donors.
  • Ensure financial due diligence of partners/potential partners is completed as part of HA assessment processes.
  • Support Finance Manager in preparation of replying to queries of donors and HQ about grants related matters.
  • Ensure Filing of complete documentation of grants.
  • Close out the ended grants in a timely manner.

Budgeting, proposal development and contracting 

  • Support financial manager in preparing complete budgets including grants budgets that include cost recovery of staff costs and support services.
  • Support proposal development team in preparation of the financial proposal which represents input of respective stakeholders i.e. program, logistic, HR etc.
  • Roll out strategy to mitigate grant related risk
  • Review of grant agreements to ensure that the terms and conditions are acceptable and practicable
  • Support budget holders in preparing their budgets in the system.
  • Prepare monthly monitoring reports for budget holders, including outturns, to ensure the effective use of approved budgets.

Financial Management Support:

  • Assist Finance Manager in reviewing the payments as per checklist of the HAP office.
  • Assist Finance Manager to make an effective financial management system for HAP and partners.
  • Ensure that the system is user friendly for budget holders and field staff alike.
  • Assist Finance Manager in preparing and presenting BVA on monthly basis.

Strategic and Operational Planning:

  • Support finance manager in preparation of Master Budget.
  • Support finance manager in organizational strategic and operational planning

Audit

  • Facilitate audits as per HAP, HQ and donors’ requirements.
  • Implement auditor’s recommendations as soon as possible.

Job Requirements:

Qualification:

  • MBA/M.Com or Intermediate CA, ACMA, ACCA.

Work Experience:

  • Minimum 5 years’ experience working in finance & grants management in a development or humanitarian organization.
  • At least 2-3 years of professional experience of working/managing grants, IPs with any INGO/donor agency.
  • Hands on experience in overseeing and managing complex multi grant management and compliance systems

  • Fluent spoken & written English language

  • Ability to maintain the highest level of confidentiality in relation to work, privacy and data.
