CHILD SAFEGUARDING: 

Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work for country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

The role holder will be expected to work in HR department in day-to-day HR activities and tasks ie. Recruitments, induction/on-boarding, record maintenance, staff learning and development , reporting and exit process.

SCOPE OF ROLE:

Reports to: HR Coordinator

KEY AREAS OF ACCOUNTABILITY :

Recruitment/New Hire Process

  • Participating in recruitment efforts.
  • Coordinating with prospective candidates, calling them for interviews.
  • Posting job ads and organizing resumes and job applications
  • Scheduling job interviews and assisting in interview process.
  • Ensuring background and reference checks are completed.
  • Preparing employee files and updating them from time to time.
  • Orienting new employees, setting up workstation, email address, etc
  • Serving as a focal point for all new employee questions
  • Participating in benefits tasks, such as health claim resolutions, reconciling and approving invoices for payment
  • Supporting team in induction process for new starters

Record Maintenance

  • Maintaining current HR files and databases.
  • Updating personnel files, as per checklist
  • Updating and maintaining HRIS, employee benefits, employment status, and similar records
  • Performing file audits to ensure that all required employee documentation is collected and Maintained.
  • Scanning all HR files and documents for data archiving.
  • Organize archival records and develop classification systems to facilitate access to archival materials.
  • Be accessible and respond to staff/manager enquiries in a timely manner
  • Develop standard induction packs (and checklists) containing key documents for all new staff maintain a Live tracker.
  • Update monthly effort reporting.
  • Update the HR Tracker on daily basis.

Any other duty assigned by the supervisor.

 QUALIFICATIONS

 Bachelor’s degree , preferably in Human Resource Management.

EXPERIENCE AND SKILLS

Essential: 1 to 2 years relevant experience preferably in development sector

Individuals must be able to demonstrate a number of competencies that are essential to the position, which include:

  • Must possess strong interpersonal skills
  • Must be able to communicate clearly, both written and orally
  • Must be able to prioritize and plan work activities as to use time efficiently.
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback.
