Job Purpose

The Chief of Staff to the President, directs and manages the Office of the President SA-MENA to promote efficient delivery and execution of priorities of the President, including internal functioning of Pathfinder, resource generation, and external engagement. Serves as a strategic advisor to the President in formulating priorities and time management and provides project management to implement initiatives and partnerships developed by the President. Partners closely with the Management Team to manage internal decision-making processes and items for review and discussion with the President. Creates and maintains cross-departmental relationships to enable leadership success and leads the tasking of document creation and other materials in support of the President. Represents the President internally and externally; and provides liaison between the President, key executives, employees, country offices, and external stakeholders. Directs a wide range of highly sensitive issues under tight deadlines/pressures. Requires a full understanding of the breadth and scope of Pathfinder International’s programmatic work.

Executive Office Management and Supervision

  • Directs office processes and procedures and supervises the Executive Assistant and Administrative Assistant in overall office coordination.
  • Works closely with the cross organizational leads for Finance and HR in the region and other members of the President’s teams

Scheduling Strategy and Periodization

  • Serves as a partner and facilitator with the President for evaluating opportunities and determining stakeholder engagement that meet President’s and organizational priorities.
  • Develops priorities and directs Executive Assistant in managing scheduling requests.

Executive Communications and Briefing Preparation:

  • Reviews internal and external communications ensuring products fit with the voice and vision of the President.
  • Develops briefing materials for meetings, trips, speaking engagements, and donor related work, ensuring President is fully prepared for external engagement.
  • Manages the development of talking points and organizes cross- functional, organization-wide teams to create necessary background materials on Pathfinder’s programmatic work and global public health issues.

  • Organize President external engagement participation including interfacing with external organizations, stakeholders, and partners. Engage with Communications team to develop talking points that advance organizational goals and President profile in the global public health space.
  • Represents and supports the President internally and externally in meetings, committees, and phone calls. Serves as a part of the senior leadership team alongside other business unit heads.

Relationship Management

  • Facilitates President relationship building and management.
  • Tracks priority relationships and manages the creation of supplementary collateral on Pathfinder to ensure effective relationship building and representation of Pathfinder and President.

Management Team Coordination

  • Establishes cadence for Management Team Meetings and prepares agendas and materials in advance to ensure decision making objectives are met.
  • Works closely with Management Team to ensure information flow to the President and necessary items are reviewed for timely decision making.

Strategic Partnerships

  • Serve as a project manager and implementor for strategic initiatives of the president.
  • Brings together relevant internal stakeholders in cross-functional, organization-wide teams to develop necessary items to advance partnership creation.
  • Serve as an interlocutor to external organizations and partners to advance strategic priorities.

Budget Management

  • Budgets for the Office of the President, as well as occasional small grants for special projects.
  • Supports the President in all work around revenue generation and enhancing visibility of Pathfinder in the region

Required Education, Training and Experience:

  • Bachelor's and 10 years of experience, or master’s and 7+ years of relevant experience
  • Excellent management skills and collaborative leadership approach with excellent strategic thinking, analytical, influencing and project management skills
  • Advanced experience supporting C-Level Executives, preferably in a non-profit organization.
  • Experience with global staff and matrixed organizations
  • Prefer: Experience in non-profit organizations

Minimally Required Job-Specific Competencies:

  • Meeting Planning: Advanced skills in organizing meetings, assisting with travel and hotel accommodations, and

providing general office operations support for meetings, such as preparing minutes and agendas.

  • Budget Management: Advanced skills in developing, monitoring, managing and reporting on budgets.
  • Research: Foundational knowledge of research methods for papers, reports, speeches and other documentation.
  • Writing and Editing: Advanced skills in drafting and editing written materials used for reports, speeches and related documents.
  • Project Planning: Advanced ability to plan and manage cross functional initiatives. Project planning to fulfill performance objectives, including timely implementation and reporting.
  • Communication: Mastery of negotiation and influencing, through written and spoken communication.
  • Standard Office Equipment Operations: Office Systems: Proven ability to operate Pathfinder’s office equipment, including but not limited to the telephone system, fax machine, copier, personal computer, and scanner.
  • Systems and Tools: Advanced skills in MS PowerPoint and Excel, filing systems, and records retention.
  • Supervisory Skills: Proven ability to direct and supervise the work of others.
  • Presentation Skills: Ability to present information in an insightful and structured manner, both written and oral.

  • Project Management: Ability to plan and manage cross-functional initiatives.

  • Software Applications: Advanced skills in MS Outlook, MS Word.
  • Passion for Sexual and Reproductive Health Services: Commitment to family planning, reproductive health services, gender, maternal, child health services, and eradication of harmful traditional practices.
  • Management and Teamwork: Ability to work independently and effectively direct a team in prioritization, workflow and core goals and objectives. Ability to be detailed-oriented, ability to manage stress effectively in a fast-paced environment, and ability to be solutions-focused.
