Essential Responsibilities
  • Work closely with the Senior Logistics Officer and mobile van teams to ensure that the mobile vans are ready for the program activities to be carried out according to the work plan.
  • Will be responsible for reviewing the quotations shared by van staff for the maintenance of the van and forwarding them to the Senior Logistics officer for his/her review and approval from the concerned authority.
  • Will be in coordination with the driver and the vendors to complete the periodic maintenance of the van on time
  • To ensure that the vehicles (Mobile vans and fleet) file documents (road taxes, fitness certificate, route permit, and driver's license) are updated and available in the van.
  • To ensure that the daily movement of vehicles (Mobile vans and fleet) is as per the approved work plan with close coordination with the staff.
  • Will be responsible for the timely issuance of advance for POL and maintenance of vehicles every month.
  • Will be responsible for the clearance of payments for vehicles (Mobile vans and fleet) maintenance and POL.
  • Will be responsible for recording expense records for each van and present a quarterly and yearly analysis of van expense and process of vendor’s payments relating to vehicles (Mobile vans and fleet) to finance.
  • Will be responsible for completing the process of insurance of vehicles (Mobile vans and fleet) and all assets installed in mobile vans and maintaining their log. and collection of log sheets, preparation of fuel consumption reports every month.
  • Update records for items purchased for mobile vans under the project from procurement and warehouse and track all items
  • Arrange Hotel booking for all guests and visitors, supervise and facilitate organization of workshops, meetings and seminars in field office
  • Ensure that functionality of office communication system (Landline and Mobile Phone)
  • Manage Kitchen supplies and support arrangements of indoor events and meeting in office
  • Maintain an organized and confidential filing system to control administrative documents, including internal and external correspondence, contracts, and lease agreements.
  • Ensure that the office is adequately equipped with the necessary supplies and equipment. Supervise the office stationary store, including ordering and distribution of stationery supplies and basic office equipment.
  • Ensures that office equipment, air conditioners, and generators are kept in optimum working order, through correct usage and periodic maintenance; negotiate maintenance and repair contracts.
  • Oversee the Mercy Corps Sindh office warehouse, maintain record of warehouse items, inventory.
  • Participate in project meetings, trainings, and awareness sessions.
  • Ensure compliance with Mercy Corps’ policies, procedures, and safety protocols at all times.
  • Can oversee the IT related issues, troubleshooting and coordination with IT country coordinator to resolve them
  • Preferably can handle the challenges related to office equipment, including photocopiers, scanners, printers and bio-metric devices.
  • Any other task assigned by the supervisor
