Position Title: Project Administrator – Oxford Policy Management
Location: Islamabad; occasional travel may be required
Contract Type: Fixed-term
About the Role
We are looking for a proactive Project Administrator to provide administrative,
financial, and logistical support across projects, ensuring compliance with our Project
Management Framework (PMF). This role is central to smooth project delivery,
supporting project managers and teams in implementing activities on time and within
budget.
Key Responsibilities

  • Act as first point of contact for suppliers and subcontractors, ensuring smooth
  • service delivery and resolving issues.
  • Organize meetings, workshops, and Steering Committees; support project
  • office set-up as required.
  • Assist in the preparation and quality control of project deliverables and
  • reports.
  • Support due diligence and contract administration, including setting up
  • suppliers, preparing draft subcontracts, and maintaining trackers.
  • Maintain project data and documentation systems, ensuring proper filing,
  • version control, and archiving.
  • Provide administrative support for procurement, asset management, and
  • office operations.
  • Assist in updating project-specific risk registers and mitigation measures.
  • Process invoices, claims, and expenses; ensure accurate budget coding and
  • financial compliance.
  • Assist with forecasting, budgeting, and preparing financial reports for clients.
  • Prepare and submit client invoices in line with project invoicing schedules.
  • Arrange travel and logistics for project staff in compliance with duty of care
  • protocols.

Qualifications and Experience

  • Bachelor’s degree in business administration, finance, or related field.
  • 0–2 years of relevant work experience in project administration, donor-funded
  • project support, or financial management.
  • Strong organizational skills, with attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (especially Excel for budget tracking).
  • Experience with financial administration and donor compliance processes is
  • an advantage.
