Main Responsibilities & Tasks:
- Oversee pre-training activities for projects, including developing a Detailed Implementation Plan (DIP), Monitoring & Evaluation (M&E) plans, initiating Purchase Requisitions (PRs) for timely procurement of training materials, and coordinating the printing of training manuals.
- Monitor project activities, including staff orientation, daily attendance tracking, training implementation, quality assurance, feedback sessions, pre- and post-assessments, data collection, and entry into the Management Information System (MIS).
- Develop Job Descriptions (JDs) for project staff and facilitate the hiring process by raising Personnel Requisition Forms (PRFs) as per project budget allocations.
- Assist the Human Resources (HR) team in recruiting project staff by conducting interviews and identifying suitable candidates.
- Collaborate with the Communications (Comms) team to design and print materials such as banners, standees, and certificates.
- Support the curriculum development team in conducting orientation sessions with trainers and co-trainers on curriculum content, Teaching and Learning Materials (TLM), and daily session planning.
- Coordinate with the Admin team for identifying and booking training venues, arranging logistics, and ensuring smooth operations at field sites.
- Oversee the implementation of project activities at the field level, with a specific focus on skills development programs.
- Develop timelines and work plans for training events as directed by the line manager.
- Coordinate with relevant staff to ensure effective data management in the MIS for project tracking and reporting.
- Maintain project documentation, official correspondence records, and prepare minutes of meetings.
- Review work plans and activity reports, ensuring program activities align with technical, financial, and administrative guidelines.
- Participate in effective program management, ensuring quality control from planning to implementation to achieve desired project outcomes.
- Prepare activity reports, weekly and monthly progress updates, quarterly reports, and donor reports, including management recommendations.
- Identify and share best practices and lessons learned to enhance program effectiveness and impact.
- Perform any other duties assigned by the line manager to support program goals and objectives.
Professional Experience:
- Bachelor’s degree in social sciences, Program Management, or a related field.
- Minimum of 1-2 years of relevant experience in program implementation within NGOs, preferably INGOs.
- Proven experience in successfully implementing donor-funded projects.
- Strong background in donor relations, including reporting, compliance, and negotiations.
Skills & Competencies:
- Ability to work independently and collaboratively in a team environment to achieve program objectives.
- Strong coordination, communication, and interpersonal skills.
- Excellent written and verbal communication skills in English.
- Effective project management skills with the ability to meet tight deadlines.
- Proficiency in IT tools, including MS Office, data management software, and online collaboration platforms.
- Strong negotiation and networking skills to engage stakeholders effectively.
