A well-established non-profit organization is seeking a highly skilled and motivated Manager Administration/Operations to oversee and enhance the administrative systems and processes. The successful candidate will play a critical role in managing day-to-day operations while also leading key initiatives to improve organizational efficiency in the areas of HR, finance, procurement, and general administration. The Manager Administration/Operations will be responsible for overseeing administrative procedures, streamlining processes, and ensuring efficient day-to-day operations. In addition to managing operational functions, the role will also focus on strengthening organizational systems related to HR, finance, and procurement, ensuring compliance with relevant policies and procedures.

 

Key Responsibilities: 

- Establish and maintain efficient systems for administrative operations, ensuring smooth workflow across the organization.

- Oversee preparation and management of purchase requests, ensuring adequate inventory and overseeing the full procurement cycle, including vendor prequalification and contract management.

-  Oversee the implementation of the organizational policies and ensure compliance with organizational and donor requirements.

- Coordinate the development and implementation of an IMS to enhance organizational efficiency, ensuring seamless integration with existing systems.

- Maintain office facilities, coordinate repairs, and ensure a safe and conducive working environment. Supervise support staff and drivers, ensuring effective delegation of duties.

- Ensure all organizational operations, including procurement and finance, comply with relevant policies and procedures. Work closely with the internal audit function to review contracts and procurement documents.

- Oversee the capacity-building process for staff on newly developed policy manuals and systems.

- Oversee fleet operations and maintain an updated record of assets and inventory.

- Work closely with the team to ensure alignment with organizational goals and compliance with donor requirements.

- Provide expert guidance in developing procurement documents, evaluating bids, and overseeing the contract management process to ensure transparency and fairness.

- Perform other duties as assigned by the Line Manager.

 

Requirements and Qualifications:

- Bachelor’s or Master’s degree in Business Administration, Management, or a related field.

- At least 7 years of relevant experience, with preference for candidates with USAID project experience.

- Strong proficiency in MS Office and other relevant IT tools.

- Proven experience in organizational policy development, procurement, and finance.

- Demonstrated experience in implementing Integrated Management Systems and overseeing administrative functions.

- Excellent leadership, communication, and management skills.

- Ability to work both independently and collaboratively.

- Fluency in written and spoken English.
