Here at Human Appeal, we have an exciting opportunity for the P&C Assistant (UK Operations) position. Human Appeal is a faith-based charity that aims to abolish poverty by providing humanitarian aid, sustainable development programs and championing advocacy for our beneficiaries worldwide. Human Appeal has seven International Field Offices across the globe.
Main Job Purpose
This role will assist effective front line service delivery within the People Services team. The P&C (People & Culture) Assistant will support Directors and Managers in monitoring adherence to organisational policies, such as timekeeping, by using the People CRM system to compile lateness reports in order to identify issues to be tackled in order to improve HA’s performance and efficiency. The P&C Assistant will maintain up to date records, on in-house People system and Personnel Files, in order to meet audit requirements. The P&C Assistant will oversee the administration of HA’s recruitment. The P&C Assistant will support the P&C team on relevant ad-hoc administrative tasks and with the development and implementation of projects in order to ensure the delivery of P&C strategy and the development of the P&C function globally in line with HA’s continual growth.
Key Result Indicator
- Complete assigned tasks in a timely manner and according to best practice in line with Human Appeal values, health and safety, legislation and compliance
- Maintain up to date records on in-house PEOPLE system and databases
- Oversee the administration of HA recruitment campaigns, including publishing adverts, ATRs, shortlisting applications, screening checks, attending interviews etc.
- Assist Directors and Managers in monitoring staff performance and adherence to policies by preparing reports on data such as lateness so that issues can be identified and improved
- Complete pre-employment screening checks (Thomson Reuters) and referencing before new staff are hired
- Ensure all employment contracts are kept up to date and in-line with legislation
- Resolve generalist HR queries
- Support the wider P+C department on relevant administrative tasks
Accountabilities
- To maintain the PEOPLE CRM system; keeping up to date with upgrades, updating new-starter and leaver details as well as Annual Leave allowances; training new-starters on the use of the software and ensuring the system is fit for purpose
- To prepare, as required, management reports on employee-related data via the PEOPLE system and archive room to assist with the management and development of staff, e.g. lateness and sickness reporting
- To collate monthly Payroll updates, making necessary benefits/deduction calculations, to ensure compliance and a smooth Payroll process so that staff are paid correctly and on time
- To review all aspects of employee documentation, such as contracts, in line with legislation and HA polices by ensuring they are fit for purpose, submitting changes to ensure employee and employer needs are met
- To ensure that employee Personnel Files are filed correctly and contain all necessary, accurate data as per audit requirements
- To assist with P+C audits, including ensuring that the department is complaint with external standards such as ISO and Investors in People standards
- To resolve generalist HR queries
- To assist the P&C team with the development and implementation of projects as required by actively participating in planning and implementing of projects such as employee conferences, rebranding new systems, job profiling etc.; in order to contribute to the continued growth of the charity and establish an efficient HR function
- To assist the wider P+C team in Recruitment, Learning and Development, Performance Management, Reward, Employee Relations) with any relevant administrative tasks and projects on a regular or ad-hoc basis in order to support the long-term strategy and development of the P+C team
NB: Employee duties are not limited only to the above-mentioned Accountabilities; they may perform other duties as assigned
Job Requirements
Education:
- Bachelors Graduate, ideally in HR or working towards a HR qualification
Experience:
- Minimum 2-3 years’ Experience working in a supportive role in an office-based environment, ideally within HR
Computer Skills:
- MS Office Suite and computer literate
Languages:
- Fluent English is essential, additional languages are a bonus
