The Admin & Accounts Officer will be responsible for managing the day-to-day administrative and financial tasks within the organization to ensure overall accuracy and legal compliance. This role involves overseeing office operations, ensuring efficient financial management, and providing support to the Management Team.
Key Responsibilities
Administrative Duties:
* Manage daily office operations
* Maintain, update and implement office policies, procedures, and systems to improve efficiency.
* Handle correspondence, emails, phone calls, and other communications on behalf of the office.
* Support HR functions including onboarding, attendance tracking, and maintaining employee records.
* Assist in organizing Company events, meetings, and conferences.
Accounts Duties:
* Manage day-to-day financial transactions, including accounts payable, accounts receivable, and bank reconciliations, Cash Book.
* Monitor and manage petty cash and expense claims.
* Prepare and maintain accurate financial records both in soft and hard, ensuring compliance with accounting standards and regulations.
* Process payroll, including tax and ensure timely disbursement of salaries.
* Reconcile tax records with accounts on a monthly basis
* Stay updated with day-to-day changes in tax laws and communicates these to relevant departments within the group companies.
* Advise stakeholders on business-related issues, including taxation, finance, and auditing.
* Ensure timely and accurate filing of corporate and personnel income & sales tax returns for group companies.
* Verify withholding tax deductions from suppliers and related party payments.
* Assist external auditors during year-end audits concerning income tax documents.
* Handle special assignments as directed by the Head of Accounts, MD/CEO.
Qualifications:
* Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
SKILLS
* Proven experience in an Administrative and Accounts role.
* Proficiency in accounting software preferably QuickBooks and MS Office
* Hands-on experience in sales tax, income tax, and internal audits
* Strong knowledge of federal, provincial, and local tax laws and regulations.
* Good organizational and time management skills.
* Attention to detail and high level of accuracy in work.
Working Conditions:
* Office-based role with standard working hours. Occasional overtime may be required.
* May require occasional travel for meetings, events, or training sessions.
