Job Description: Program Coordinator

Position Overview:

The Program Coordinator will be responsible for the successful implementation and coordination of project activities, ensuring effective communication with stakeholders, managing program deliverables, and maintaining high standards in data management and monitoring. The role requires a proactive approach to identifying areas for improvement, supporting field teams, and leading the execution of programmatic events.

Key Responsibilities:

Program Implementation:

  • Identify monthly programmatic deliverables and assess resource requirements with the Project Manager.
  • Provide direction to Delivery Associates for specific deliverables.
  • Collaborate with Delivery Associates to identify inputs for project activities and coordinate with relevant departments (Admin, M&E, PDU, etc.).
  • Support the Project Manager in identifying and addressing delivery red-flags.
  • Maintain regular coordination with project field teams to ensure consistency in field work plans and deliverables.
  • Provide feedback and support on project deliverables concerning field engagements.
  • Lead the coordination and execution of programmatic events, engaging with project stakeholders.
  • Work with the Project Manager to assess and execute capacity development for project and field teams.

Monitoring, Learning, & Data Management:

  • Ensure compliance with project-specific monitoring tools, updating and utilizing them according to M&E standards.
  • Review the monitoring and evaluation calendar and keep M&E apprised of project activities.
  • Identify areas for capacity-building within the project team to improve data management practices and standardization.
  • Ensure the accuracy of incoming data and provide feedback on inconsistencies.
  • Conduct regular field visits to monitor program activities and report lessons learned and delivery red-flags to the Project Manager.
  • Ideate and support the design and implementation of measurement activities within the project.

Communications & Outreach:

  • Support the execution of the project-specific communications strategy and assist in its design with the Comms Focal Person.
  • Lead the finalization and execution of the project’s dissemination strategy for project deliverables.
  • Assist in the ideation and design of project-specific communications and visibility products.
  • Ensure effective coverage of project activities and events, providing direction for social media updates.
  • Update project activities and events on the Comms Calendar Tool monthly, ensuring accuracy and reflection of on-ground changes.

Strategic Support and Stakeholder Management:

  • Support the Project Manager in liaising with project stakeholders and establishing relationships with relevant focal persons.
  • Maintain regular contact and coordination with project stakeholders alongside the Project Manager.
  • Assist the Project Manager in maintaining the project’s stakeholder analysis document.

Qualifications:

  • Bachelor's degree in a relevant field.
  • 3 years of proven experience in program coordination, project management, or a related role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Proficiency in data management and analysis tools.
  • Familiarity with monitoring and evaluation processes.
  • Ability to lead and manage events and activities effectively.
