Job Description:

Position Objective and Specific Tasks.

The Dopasi Foundation intends to hire an enthusiastic and committed professional to plan and coordinate administrative procedures and systems and devising ways to streamline processes. The individual will support in day-to-day administrative operations of the organization.

Key Responsibilities.

Specific tasks of the Manager Administration include, but are not limited to:

  • Oversee robust and efficient systems for administration and operations.
  • Prepare purchase requests for office needs, ensuring adequate stock of supplies.
  • Manage day-to-day small expenditures and replenishment processes.
  • Safeguard cash receipts, petty cash, and reimbursement forms.
  • Ensure timely payments for utility bills and finance submissions.
  • Maintain office facilities to ensure a conducive working environment.
  • Coordinate necessary repairs and building maintenance, liaising with building management.
  • Organize office meetings and handle visitor documentation.
  • Supervise support staff and drivers, assigning and following up on duties.
  • Oversee fleet/transport operations in compliance with organizational policies.
  • Manage inventory, including receiving and record-keeping.
  • Update, review, and maintain records of assets.
  • Ensure compliance with USAID policies and procedures.
  • Perform other duties as assigned by the Line Manager.

Educational Requirements and Qualifications. 

The individual holding this position shall possess the following:

  • Master/Bachelor’s degree in Business Administration or related field.
  • 5 years of relevant experience; experience with USAID or its projects preferred.
  • Proficiency in MS Office suite and excellent IT skills.
  • Proven experience in maintaining detailed administrative records.
  • Strong management and communication skills.
  • Ability to work independently and collaboratively.
  • Proactive, result-oriented, and adept at building and maintaining effective relationships.
  • Fluency in written and spoken English.

Authorized Workday/week

The work week will start on Monday and conclude at the end of the day, Friday.
