Project: USAID’s Economic Recovery and Development Activity (ERDA)
Reports To: Operations Manager
Location: ERDA PMU Peshawar
Job Summary & Specific Responsibilities:
Job Summary:
The Admin/ Logistics Assistant provides administrative support to the program team by assisting in daily administrative and Logistic tasks for the successful operational implementation of USAID-ERDA. This role is crucial in ensuring the smooth functioning of various processes within the ERDA project.
Specific Responsibilities:
- Assist in the preparation and organization of documents, reports, and correspondence.
- Maintain and update administrative records, databases, and files.
- Assist in managing inventory levels and stock replenishment.
- Coordinate with suppliers and vendors for timely deliveries.
- Monitor and track shipments to ensure timely arrival of goods.
- Management of procurement and related activities.
- Implement clerical services, including but not limited to translating, word-processing, photocopying, and collating documents, in response to management, administration, and program needs.
- Implement correspondence/mail services including pouches; mailboxes; incoming and outgoing correspondence, including mail, messages, faxes and email; distribution all correspondence including internal memos; and maintenance of mail registers.
- Look after overall organization’s property, vehicles and assets inventories and records.
- Able to prepare timely and accurate reports on vehicle management, including vehicle usage, fuel consumption, maintenance costs, and driver performance.
- Responsible for coordination, proper functioning, and maintenance of all vehicles, ensure traveling policies and procedures are being observed by staff and drivers.
- Undertakes any other task assigned by the supervisor.
Qualifications, Experience and Skills Required:
- At least Bachelor’s degree in any discipline.
- At least 1 year working experience preferably with International/National NGOs, Donor Agencies, or other reputable organizations/companies.
- The ability to act independently and operate proactively.
- Innovative thinking and strong team-building skills are highly desirable.
- Must be familiar with MS Word, Excel and Power Point.
- Good organization and time management skills.
- Good communication skills with the ability to communicate both orally and in writing.
