The Purpose of the Role:

The selected candidate for this position would be responsible to provide assistance in Admin Functions of Regional Centre Pakistan under the guidance of Administrative Officer. This position is to be recruited for one year which is likely to be extended, however the successful candidate based on satisfactorily performance to complete the six months of probation period.

   Key accountabilities:

  • Provide day to day administrative support to the Administrative Officer in managing office operations, facilities, and logistics.
  • Maintain and update administrative records, files, inventories, and documentation to ensure accuracy and accessibility.
  • Assist in procurement processes including vendor coordination, obtaining quotations, maintaining purchase records, and tracking deliveries in line with organizational policies.
  • Support travel and logistics arrangements including visa processing, hotel bookings, transport coordination, and related documentation for staff and visitors.
  • Facilitate administrative arrangements for meetings, workshops, seminars, and official events including venue setup, materials preparation, and coordination.
  • Handle routine correspondence and communication with internal teams, vendors, and relevant external stakeholders as guided by the Administrative Officer.
  • Support asset management by maintaining updated inventory records and assisting in periodic physical verification.
  • Assist in managing office facilities including cleanliness, maintenance, utilities coordination, and basic troubleshooting with service providers.
  • Provide support in financial coordination tasks such as processing administrative payments, tracking expenses, and liaising with the finance team for documentation and recoveries.
  • Ensure compliance with organizational administrative policies, procedures, and documentation standards.
  • Provide general administrative support to project teams and staff as required to ensure smooth office operations.
  • Perform any other administrative or support tasks assigned by the Administrative Officer or senior management.

CANDIDATE PROFILE

   Education & Experience:

  • Bachelor’s degree from HEC recognized institute with a minimum of 02 years of relevant experience
  • Familiar with all Office IT Tools.

   Personal Characteristics:

  • Applicant for this role need to be honest, dedicated, social, motivated, disciplined, and self-organized to deliver quality work at prescribed deadlines.
  • Ability to plan work schedules to meet agreed deadlines.
  • Effective team player and conversant with a transdisciplinary approach.
  • Good communication and interpersonal skills, Self-motivated, an enthusiastic team player.
