Position Summary:

The Admin and Procurement Intern will be responsible for supporting procurements, administrative and logistic activities and the preparation of documentation about the admin, logistic support and procurements made through the Snr. Admin & Procurement officer under the projects of WASH Projects, Emergency, Sessional projects and construction projects) Livelihood projects, departmental procurements, Institutional funded projects (UNICEF, WFP, SELD PROJECT) and, other administrative and logistic support services. In addition, She/He will support the implementation of general, global and, local policies during the all procurement and logistic support process.

The Admin & Procurement Intern must assist in ensuring that all support services and purchases of goods and services are done transparently, at the best available price, and in compliance with HA-Pak and donor procurement policy and procedures.

Key Responsibilities:

Administration Support

  • Assist in maintaining office records, files, and documentation (both soft and hard copies).
  • Support routine administrative tasks such as correspondence, filing, photocopying, and data entry.
  • Assist in tracking office supplies and preparing stock requisitions.
  • Provide support in arranging meetings, preparing minutes, and coordinating logistics.
  • Assist in maintaining staff attendance, asset registers, and office inventories.

Procurement Support

  • Assist in preparing Request for Quotations (RFQs), Purchase Requests, and Comparative Statements (C.S.).
  • Support vendor communication for quotation follow-ups, documents, and sample collection.
  • Maintain procurement files, contracts, quotations, and delivery records.
  • Assist in purchase order preparation and tracking deliveries.
  • Support quality evaluation documentation and vendor assessment records.

Coordination & Compliance

  • Coordinate with suppliers, internal departments, and project teams as required.
  • Support compliance with procurement policies, procedures, and donor guidelines (if applicable).
  • Assist in maintaining transparency and proper documentation throughout procurement cycles.

Reporting:

  • The Procurement Assistant (Intern) is responsible for preparing and submitting accurate:
  • Weekly Purchase Requisition tracker done manually after following up with pending deliveries for goods and services every Friday of the we
  • Updated emergency list of items every month. (if needs)

Key Working Relationships:

  • Internal: Regular relationships with program staff, finance staff, and Operations department staff at all levels (Country and field offices).
  • External: Vendors and Service providers.

Demonstrated Skills and Competencies:

  • Good collaborator and influencer with effective interpersonal and analytical skills who can work seamlessly across cultures, organizational units, and suppliers.
  • Excellent skills in conducting market analysis and sourcing strategies.
  • Able to work effectively in a highly matrixed structure
  • Good mathematical skills.
  • Competent in spoken and written English
  • Competent use of Computers, especially spreadsheets
