Purpose

The Field Coordinator is responsible for the overall coordination, supervision, and smooth functioning of the field office, ensuring effective implementation of programme activities in line with organisational policies, donor requirements, and approved workplans.

 

The role serves as the primary operational and supervisory focal point at the field level, ensuring that field teams are supported, activities are implemented on time, coordination with Head Office is maintained, and operational, administrative, and security matters are addressed promptly. The Field Coordinator ensures strong internal communication, compliance, and accountability while facilitating technical oversight from relevant programme pillars.

Key Responsibilities

1. Field Office Management & Coordination

  • Oversee day-to-day operations of the field office and act as the main liaison between Head Office and field teams.
  • Ensure smooth coordination, communication, and workflow across programme, admin, finance, and support staff.
  • Maintain regular communication with Head Office through agreed reporting and coordination mechanisms.

 

 

2. Supervision & Team Management

  • Act as first-line supervisor for CBPOs, Case Management Assistants, Admin & Finance Assistant, IT Assistant, and interpreters.
  • Ensure staff attendance, task allocation, performance monitoring, and basic supervision at the field level.
  • Conduct regular team meetings for planning, coordination, and issue resolution.
  • Support staff well-being, stress management, and professional conduct in line with organisational values.

 

3. Programme Coordination

  • Support implementation of programme activities across pillars (CBP, Case Management, MHPSS, GBV).
  • Facilitate coordination between field teams and pillar leads for technical guidance, reporting, and follow-up.
  • Ensure activities are implemented in line with approved workplans, timelines, and available resources.

 

4. Administration, Finance & Operations Support

  • Supervise Admin & Finance Assistant in ensuring:
    • Timely financial documentation and submissions
    • Procurement and logistics follow-up
    • Asset, inventory, and office records management
  • Coordinate with Head Office Operations, HR, and Finance units/sections for smooth administrative processes.
  • Support basic budget follow-up for field activities in coordination with Programme and Operations teams.

5. Representation & External Coordination

  • Represent Inspire Pakistan at relevant district and provincial forums, coordination meetings, and community engagements as assigned.
  • Maintain working relationships with local authorities, community leaders, service providers, and partners.
  • Support donor, senior management, and visitor missions to the field office when required.

 

6. Reporting, Compliance & Security

  • Ensure timely submission of weekly, monthly, and quarterly field reports.
  • Ensure compliance with organisational policies, donor regulations, safeguarding, PSEA, and Do No Harm principles.
  • Monitor local security context, report risks, and support implementation of security procedures.
  • Ensure the safety of staff, premises, assets, and equipment at the field level.

Other Duties

  • Perform any other duties related to the position, as reasonably assigned by the Supervisor or Programme Manager, in line with organisational policies and operational requirements.

Qualifications & Experience

  • Preferably a Bachelors’ degree in Social Sciences, International Relations, Public Administration, Law, Development Studies, or related field.
  • Minimum 2-3 years of experience in humanitarian or refugee programming.
  • Experience working with UNHCR or UN agencies preferred.

  • Strong knowledge of UNHCR protection frameworks and refugee case management systems.
  • Familiarity with International Refugee Law and humanitarian principles.
  • Experience in CBP, protection monitoring, and referral mechanisms.
  • Strong reporting and analytical skills.

  • Leadership and team management skills.
  • Excellent communication and negotiation skills.
  • Ability to manage multiple priorities under pressure.
  • Cultural sensitivity and experience working with diverse refugee populations.
  • High ethical standards and integrity.

  • Fluency in English and Urdu (written and spoken).
  • Knowledge of relevant refugee languages (e.g., Pashto, Dari) is highly desirable.
