Position summary

The Operations & Liaison Officer ensures smooth functioning of the Justice Hub by managing administration, procurement, logistics, safety, and stakeholder coordination. The role focuses on maintaining a secure, accessible, and client-centered environment to support effective legal aid service delivery.

Key responsibilities

1. Hub Operations & Administration Manage reception, scheduling, and client-facing administrative tasks. Supervise front-desk operations with professionalism and empathy. Ensure cleanliness, organization, and readiness of hub facilities. Oversee IT systems, office equipment, and supplies functionality. Track consumables and initiate procurement requests. Support data collection and CMS updates.

2. Safety & Safeguarding Ensure readiness of fire safety, first aid, and access control systems. Support safety drills and periodic threat assessments. Monitor compliance with accessibility standards (including PWDs). Report and address safeguarding concerns confidentially. Maintain security systems (CCTV, locks, emergency exits).

3. Procurement & Vendor Management Initiate and follow up on Purchase Requests (PRs). Liaise with vendors for quotations, delivery, and quality assurance. Maintain procurement trackers and vendor documentation. Identify and pre-qualify local vendors. Ensure compliance with BOQs, donor requirements, and audit standards.

4. Stakeholder Liaison & Outreach Act as focal point for courts, bar associations, police, and local administration. Maintain visit logs, meeting minutes, and outreach reports. Support organization of outreach sessions, events, and trainings.

Requirements

Education: Bachelor’s degree in Management, Business Administration, or equivalent. Experience: Minimum 3 years in administration, operations, or NGO project support.

Skills: Administrative coordination, procurement processes, stakeholder liaison, safety compliance, IT equipment management, CMS/ERP data entry, vendor management.

Knowledge: Safeguarding protocols, data privacy, procurement policies, facility safety standards, and local justice ecosystem.

Values: Commitment to client dignity, safety, transparency, accessibility, and compliance.

Personal Attributes: Empathetic, organized, proactive, diplomatic, detail-oriented, and able to respond effectively in crisis situations.
