JOB PURPOSE
The HR Coordinator will support the Human Resource function in delivering efficient, compliant, and people-cantered HR services across AGAHE's programs. The role covers recruitment support, personnel records management, HR policy implementation, Payroll process and coordination on employee relations, performance, and exit processes, contributing to a fair, safe, and wellgoverned working environment consistent with AGAHE's mandate.
KEY RESPONSIBILITIES
1- Support end-to-end recruitment and selection processes, including drafting job specification,job description, posting vacancies, shortlisting, scheduling interviews, and coordinating with panel members.
2- Facilitate onboarding and induction of new staff, ensuring completion of joining requirements, orientation on organizational policies, and safeguarding/PSEA briefings.
3- Maintain accurate and confidential personnel files (physical and digital) in compliance with organizational and donor requirements.
4- Manage staff attendance, leave records, and time sheets through HRIS, and coordinate with finance unit for timely payroll processing.
5- Lead in development, review, and implementation of HR policies and procedures in line with Pakistan labor laws and donor compliance standards.
6- Coordinate the employee performance management cycle, including probation reviews, confirmations, annual appraisals, and follow-up on action plans.
7- Support identification of training and capacity-building needs and help organize staff development sessions.
8- Act as a first point of contact for employee queries and support fair and confidential handling of grievances and disciplinary matters, in coordination with line Manager.
9- Coordinate staff exit formalities, including clearance, handover, final settlement documentation, and exit interviews within stipulated time frame.
10- Maintain and regularly update the HR database/HRIS and generate reports as required by management and donors.
11- Support compliance with AGAHE's Safeguarding, PSEA (Protection from Sexual Exploitation, Abuse and Harassment), and Code of Conduct policies across all HR processes.
12- Conduct staff surveys related office working environment, staff benefits and other associated facilities and recommendation for management.
13- Perform any other HR tasks assigned by the supervisor as and when needed.
QUALIFICATION & EXPERIENCE
• Master's degree in Human Resource Management (HRM) OR Master in Business Administration with major in HR from HEC recognized university
• 2–3 years of relevant professional experience in HR management preferable in the development sector (NGO/INGO/UN)
• Sound understanding of HR functions including recruitment, personnel records management, performance management, and labor law compliance.
• Working knowledge of Pakistan labor laws and, preferably, donor compliance requirements applicable to the NGO sector.
SKILLS & COMPETENCIES
• Strong interpersonal, communication, and coordination skills.
• High level of confidentiality, integrity, and professional ethics.
• Proficiency in MS Office (Word, Excel, Power Point) and familiarity with HR information systems/databases.
• Ability to multitask, prioritize, and work effectively under deadlines.
• Sensitivity to gender, diversity, and safeguarding principles, consistent with AGAHE's mandate.
