General mission

Under the responsibility of the Emergency Preparedness and Response Manager, the Project Assistant contributes to the implementation of project activities in line with the organizational mandate and strategy in Pakistan. He/she supports day-to-day implementation, coordination, documentation, community engagement, logistical follow-up, and reporting related to anticipatory action, disaster preparedness, and inclusive humanitarian activities in District Sindh.

The Project Assistant works closely with the technical and operational teams to ensure smooth implementation of field activities, coordination with stakeholders, and timely follow-up of project deliverables.

He/she contributes to strengthening inclusive anticipatory action and preparedness activities including mock drills, household vulnerability assessments, early warning dissemination, evacuation planning, and coordination with local authorities and community structures.

Responsbilies

Objective 1: Supporting implementation of project activities

  1. Support implementation of project activities according to approved workplans and timelines.

  2. Assist in organizing field activities, meetings, training, mock drills, and community awareness sessions.

  3. Support coordination with local authorities, DDMA, Rescue 1122, DMCs, OPDs, and community stakeholders.

  4.  Support collection and compilation of project-related data and documentation.

  5.  Assist in maintaining activity records, attendance sheets, field reports, and project files.

  6. Support dissemination of accessible IEC materials and early warning messages in targeted communities.

 Objective 2:porting coordination and community engagement

  1. Facilitate communication and coordination between communities, local stakeholders, and project teams.

  2. Support mobilization of persons with disabilities, older persons, women, and vulnerable groups for project activities.

  3. Assist in community consultations, vulnerability assessments, and field verification activities.

  4. Support feedback collection and ensure community concerns are communicated to the project team.

  5. Promote inclusive participation during preparedness and evacuation-related activities.


Objective 3: Supporting operational and administrative tasks

  1. Support logistical arrangements for training, workshops, mock drills, and meetings.

  2. Assist in procurement follow-up and tracking of field-level supplies and materials.

  3. Support travel arrangements, venue coordination, and field movement planning where required.

  4. Assist in maintaining coordination with vendors and local service providers.

  5. Support timely submission of field documentation and activity updates.

Objective  4: Supporting monitoring, reporting, and learning

  1. Support data collection and reporting for project monitoring purposes.

  2.  Assist the MEAL and technical teams during assessments, monitoring visits, and field verification exercises.

  3.  Compile field observations, lessons learned, success stories, and activity updates.

  4. Support project reporting and documentation in line with organizational requirements.

  5. Ensure proper filing and arcINGOving of project-related records and documents.

Objective 5: Emergency Preparedness and Response Responsibilities


Contribute to emergency preparedness and anticipatory action activities of the project and, during emergencies, adapt work modalities to support effective humanitarian response implementation.

 Education: Bachelor's or Master's degree in Management or a related/equivalent field. 

 Experience: 1–2 years of relevant professional experience.
