Terms of Reference- Admin Officer

  • Manage assets of all projects according to company Policy.
  • Visit regional project offices to assess asset status, needs, risks and physical verification.
  • Assist in the physical verification of PPEs for regions/countries of responsibility, as required.
  • Prepare asset management reports and submit it to supervisor on monthly basis.
  • Work on asset management software and update records on daily basis
  • Develops, updates, organizes, and maintains assets lists in head office by coordinating procurement and finance department.
  • Coordinates with Insurance company for insurance of all assets.
  • Assisting in coordination with project staff for claiming of assets through insurance companies
  • Coordinates with project staff for issuing of tags as per policy
  • Analyze asset management performance of offices and make suggestions on how to minimize/mitigate potential risks.
  • Compiles and presents asset management reports to supervisors and senior executives.
  • Coordinate with project offices for disposals of assets as per company policy
  • Assist to ensure the project offices to carries out all its responsibilities in relation to reactive repair services as required
  • Contributes to team efforts by accomplishing related tasks as needed.
  • Maintain and update company databases
  • Organize a filing system for important and confidential office documents
  • Organize and maintain vendor invoices with all supporting documents and submit it to finance department for payment accordingly
  • Update admin policy as and when required
  • Arrange travel and accommodations
  • Responsible to negotiate services agreements with vendors.
  • Looks after administrative affairs of the Office
