Job Objective

The key objective of this position is to manage GRASP accounts by adherence of financial guidelines of PPAF and EU/ITC while carrying out all financial transactions by PPAF.

Key Responsibilities

  • Manage project accounts related to project activities assigned to organization.
  • Ensure adherence to the financial guidelines of organization and donor while carrying out all financial transactions by the organization.
  • Review financial reports and statement of expenses by partner organizations and process for approval.
  • Consolidate status related to receipts, disbursements, and utilization to finalize the periodic financial progress reports on the format given by the donor.

Administrative responsibilities:

(i)    Maintain monthly time sheets, attendance sheets and leave applications of all GRASP Staff including driver.

(ii)   Ensure the presence of apportioned vehicles and driver. Keep and maintain up to-date records / logbook of vehicles. Record keeping all vehicles should maintained including documentation of movements and location of vehicle.

(iii)  Vehicle Logbook shall be maintained to keep the daily record of each vehicle and driver indicating the date of the trip, location, vehicle information, driver name and staff information. Vehicle logbooks will be verified on a daily basis

(iv)  Liaison, and coordination with PPAF Admin and GRASP Finance Manager.

(v)   Undertake and assist in the recording and processing of invoices, receipts and payments as required and instructed.

(vi)  Administer the daily office operations and coordinate logistic requirements for the project office. Administer the petty cash system and ensure appropriate record keeping. In case advances for office expenses are provided, ensure timely liquidation.

 Knowledge, Skills, Abilities & Other attributes

  • At least 16 years of education or Master’s in Business Administration-Finance/Master’s in Finance/ACCA/ ACMA/ CA-Inter. from a HEC recognized institute.
  • At least 04 year of relevant experience in accounts, financial reporting requirements, preferably with development sector organization.
  • Strong Administrative and coordination skills.
  • Working with multiple teams, flexible working with multicultural and diverse background staff will be an asset.
  • Team working skills to work in an inter unit and cross functional team.
  • Interpersonal, Negotiation Skills and Relationship Management Skills.
  • Excellent written and verbal communication skills and the ability to manage professional relationships efficiently and effectively.
  • Must possess presentation skills and time management to multi-task in a fast-paced environment under pressure situations.
  • Proficiency in MS Office Suite.
